Run of Show
Definition
A run of show (ROS) is a detailed, minute-by-minute production document that outlines every element of an event program in chronological order, including speaker entries, slide transitions, AV cues, lighting changes, music, video playback, stage management directions, and crew responsibilities. It serves as the master timeline that coordinates all production teams, ensuring every element happens on time and in the correct sequence.
Understanding Run of Show
The run of show is the most granular planning document in event production, translating the high-level event agenda into precise, executable instructions for every person involved in delivering the event. While the agenda tells attendees what happens and when, the run of show tells production teams exactly how each moment will be executed. It is the difference between "Keynote at 9:00 AM" and a detailed sequence of house lights dim, intro video plays, walk-on music starts, speaker enters stage left, and confidence monitor displays first slide.
Creating a comprehensive run of show requires collaboration between event producers, AV technicians, stage managers, content teams, and speakers. Each entry in the document includes the exact time, what happens, who is responsible, what AV or technical elements are needed, and any notes or contingency plans. The document is typically formatted as a multi-column spreadsheet or table that can be printed and used as a reference during the event.
During the event, the stage manager or show caller uses the run of show as the authoritative guide, calling cues to technical teams and managing the pace of the program. Timing adjustments are inevitable as sessions run long or short, and the run of show provides the framework for making real-time decisions about where to compress or expand. Post-event, the actual run of show (with noted deviations) becomes a valuable reference for planning future events.
