AV Setup
Definition
AV setup (audio-visual setup) refers to the installation and configuration of sound, video, lighting, and presentation technology at an event venue. This includes microphones, speakers, projectors, screens, cameras, mixing consoles, lighting fixtures, and streaming equipment. The AV setup determines how well the audience can see and hear presentations, and is a fundamental factor in event quality and attendee satisfaction.
Understanding AV Setup
Audio-visual technology is the invisible infrastructure that makes or breaks an event experience. When AV works perfectly, nobody notices it. When it fails, a microphone that cuts out during a keynote, a projector that cannot display a presenter's laptop, or speakers that produce feedback, it immediately becomes the focus of attention and undermines the entire event. Professional AV setup anticipates and prevents these issues through proper equipment selection, installation, testing, and on-site management.
AV requirements vary significantly by event type and venue. A small seminar in a conference room may need only a projector, screen, and wireless microphone. A large conference keynote may require multiple microphones, professional speakers, a large-format LED wall or projection screens, cameras for IMAG (image magnification on side screens), and streaming equipment. Trade show booths need localized audio and display solutions that work within noisy exhibition halls. Each scenario requires different equipment, setup time, and technical expertise.
Venue AV capabilities and restrictions are critical factors in event planning. Some venues have in-house AV systems and require events to use their equipment and staff (often at premium pricing). Others are bare spaces where all equipment must be brought in by the event's production company. Factors to evaluate include power availability (large AV setups require significant electrical capacity), rigging points for lighting and speakers, ambient light control (essential for projection quality), internet connectivity for streaming, and load-in logistics (elevator sizes, dock access, setup time allowed).
