Event Venue
Definition
An event venue is the physical location where an event takes place, encompassing the building, rooms, outdoor spaces, and facilities that host the event program. Venue selection is one of the earliest and most consequential decisions in event planning, as it determines capacity, atmosphere, logistics, accessibility, and a significant portion of the budget. Common venue types include convention centers, hotels, conference centers, unique spaces (museums, rooftops, warehouses), and outdoor locations.
Understanding Event Venue
Venue selection should begin 12-18 months before the event for large conferences and 6-12 months for smaller events. The selection process starts with defining requirements: expected attendance, number of sessions and rooms needed, AV capabilities, catering options, accessibility requirements, location preferences, and budget constraints. These requirements are translated into a venue RFP (request for proposal) sent to multiple candidates for competitive comparison.
Key evaluation criteria include capacity and room configuration (can the venue accommodate your program?), location and accessibility (proximity to airports, public transit, hotels, and restaurants), AV and technology infrastructure (power, internet, rigging, in-house equipment), catering options (exclusive caterer or outside vendors allowed?), ambiance and brand fit (does the space match your event's tone and audience expectations?), and cost structure (room rental, F&B minimums, AV charges, parking, WiFi fees). Site visits are essential for evaluating flow, sight lines, noise levels, and overall impression.
Venue contracts require careful negotiation. Key terms include room rental rates, food and beverage minimums, attrition clauses (penalties for underselling room blocks), cancellation terms, complimentary services (WiFi, parking, AV basics), load-in and load-out schedules, insurance requirements, and force majeure provisions. Working with an experienced venue sourcing partner or event planner can save significant costs through industry knowledge and negotiation leverage.
