This checklist walks you through every phase: Roka and engagement, the 6-12 month planning runway, the pre-wedding functions (Sangeet, Mehendi, Haldi), the wedding day itself (Baraat and Pheras), the reception, and the post-wedding wrap-up.

What's Included
Phase 1 — Roka & Engagement
- Confirm the match with both families and fix a tentative wedding window
- Decide budget bands and who is contributing to which functions
- Hold the Roka / Tilak ceremony and announce within close family
- Draft the master guest list (split into wedding-only vs. all-functions)
- Shortlist a wedding planner and book the engagement-day photographer
- Consult the family priest / pandit for auspicious dates (shubh muhurat)
- Open a shared spreadsheet or chat group for both families to track decisions
Phase 2 — 6 to 12 Months Out
- Lock the final wedding date and reserve all venues (mandap, banquet, lawn)
- Book the big-ticket vendors: caterer, decor, photographer/videographer, DJ/live band
- Book and brief the pandit; confirm the ritual sequence and timings
- Finalize the guest count per function and start the invitation list
- Order outfits with enough lead time for fittings (bridal lehenga, groom sherwani, family)
- Book the makeup artist and mehendi artist (popular ones book a year out)
- Block hotel rooms and arrange transport for out-of-town guests
- Apply for any passports/visas if there is a destination leg or honeymoon abroad
- Design and send save-the-dates; finalize the wedding invitation (print + digital)
- Plan the entertainment for each function and start Sangeet performance rehearsals
Phase 3 — Pre-Wedding Functions (Sangeet / Mehendi / Haldi)
- Sangeet: finalize the running order, MC, dance performances, and song playlist
- Sangeet: confirm stage, lighting, sound, and dance-floor setup with the venue
- Mehendi: book the artist(s), confirm cones/supplies, and seating for guests
- Mehendi: arrange shade, fans, and refreshments for the application hours
- Haldi: arrange haldi paste, old clothes/marigold decor, and easy cleanup

Phase 4 — Wedding Day (Baraat & Pheras)
- Baraat: confirm the band/dhol, horse/car, and the route and start time
- Baraat: assign a family coordinator to keep the procession moving on schedule
- Welcome / Milni: brief families on the greeting sequence and garland exchange
- Mandap: confirm setup, samagri (ritual items), and seating with the pandit
- Pheras: align the muhurat timing with the pandit and the photographer
- Assign someone to mind the rings, mangalsutra, and important documents
- Arrange a green room, meals, and water for the couple and immediate family
- Run the QR blessings / aashirwad wall so guests leave wishes for the couple, moderated live by WebMobi
- Brief ushers on seating, gift collection, and guest assistance
Phase 5 — Reception
- Confirm the stage, couple entry, and grand-entry music with the DJ
- Finalize the seating plan and the family/VIP table arrangements
- Lock the catering menu, live counters, and bar/mocktail service
- Plan speeches, the first dance, and any surprise performances
- Keep the QR photo wall and live polls running so guests share moments in real time
- Arrange a guest sign-in / well-wishes capture (digital, via WebMobi moderation)
- Brief photographer/videographer on must-have family group shots
- Confirm return gifts / favors and the gift-collection point
Phase 6 — Post-Wedding
- Vidaai / Griha Pravesh: confirm the rituals, timing, and who travels with the bride
- Settle final vendor payments and collect all invoices and receipts
- Return rented items (jewelry, outfits, decor, AV) and reconcile deposits
- Send thank-you notes to guests and acknowledge gifts received
- Collect the edited photos, full album, and wedding film from your photographer
