Lead with the newsworthy angle, not the event details — "1,000 AI leaders to gather in Chicago" beats "Annual tech conference announces dates."
Include exactly one quote from the organizer and one from a speaker or notable participant.
Send the press release to journalists 3-4 weeks before the event — earlier for monthly publications.
Follow up with a personalized pitch email to 10-15 targeted journalists, not a mass blast.
