Event Brief
Definition
An event brief is a foundational planning document that outlines the purpose, objectives, audience, budget, timeline, and key requirements of an event. It serves as the single source of truth for all stakeholders, ensuring alignment on expectations and deliverables. The event brief is typically created at the project kickoff and referenced throughout the planning process.
Understanding Event Brief
A well-crafted event brief answers the fundamental questions: why is this event happening, who is it for, what does success look like, and what are the constraints? It typically includes the event name and type, date and location preferences, target audience profile, goals and KPIs, budget range, brand guidelines, key messages, and any non-negotiable requirements. The brief prevents scope creep and miscommunication by documenting decisions early.
The event brief evolves from a high-level overview into a detailed specification as planning progresses. Initial briefs may be one to two pages, while comprehensive briefs for large conferences can extend to ten or more pages covering every aspect from AV requirements to accessibility needs. Sharing the brief with vendors, speakers, and partners ensures everyone works toward the same vision.
