Setup & QR Code Generation

Enable check-in for your event — QR codes are automatically generated for every registered attendee

Before You Begin

  • A webMOBI organizer account
  • A published event with at least one session
  • Registration open for attendees

How QR Codes Work

Every attendee who registers for your event automatically receives a unique QR code. This QR code is:

Unique

One code per registration — cannot be duplicated

Tied to Profile

Links to name, email, ticket type, and registration

Reusable

Same code works for event entry AND session check-ins

Trackable

Every scan is logged with timestamp and staff member

Create Your Event

  1. Log in to webMOBI Dashboard at events.webmobi.com
  2. Click "Create Event" from the dashboard
  3. Fill in event details — name, date, location, description
  4. Click "Publish" to make the event live

Add Sessions (For Session-Level Tracking)

To track attendance at individual sessions (breakouts, workshops, keynotes):

  1. Go to Dashboard > Your Event > Sessions
  2. Click "Add Session"
  3. Enter session details — title, date/time, room, speaker(s)
  4. Repeat for each session you want to track

Tip: Include the room/location for each session — this helps staff know exactly where to position scanning stations.

QR Codes Are Auto-Generated

When an attendee completes registration, a unique QR code is automatically generated — no manual action needed. The attendee receives their QR code via:

  • Confirmation email (sent automatically on registration)
  • Mobile app (in the "My QR Code" section)
  • Badge export (for printing physical badges)

What Happens at Check-In

When a staff member scans an attendee's QR code:

  1. System reads the QR code identifier
  2. Looks up the attendee's registration record
  3. Records the check-in with timestamp, type (event/session), and staff member
  4. Shows attendee name and confirmation to the scanner
  5. Updates the registration status to "Checked In"

Duplicate Prevention

If the same QR code is scanned twice for the same session, the system recognizes it as a duplicate and shows "Already Checked In" — no duplicate records are created.
