How Check-in Works

1. Attendee registers → receives confirmation email with QR badge automatically.

2. At the venue → staff scan QR badges OR attendees self-check-in via venue QR poster.

3. Session rooms → optional per-session QR for tracking talk attendance.

4. Dashboard → real-time check-in stats, attendee list, and analytics.

Initial Setup

Step 1: Create Your Event & Tickets

Set up your event with at least one ticket type so attendees can register.

  1. 1Go to Dashboard > Create Event
  2. 2Fill in event details (title, date, venue)
  3. 3Add at least one ticket (free or paid)
  4. 4Publish the event to enable registration

Step 2: Registration Opens Automatically

Once published, attendees can register and automatically receive QR code badges via email.

  2. 2Attendees register and provide their email
  3. 3System sends confirmation email with QR badge automatically
  4. 4QR codes use the WEBMOBI:ATTENDEE:{code} format

Step 3: Print Venue & Session QR Codes

Generate and print QR codes for venue entrances and session rooms.

  1. 1Go to Dashboard > Events > Your Event > Check-In
  2. 2Click 'Print Venue QR' to generate an event-level QR poster
  3. 3For session tracking: go to Sessions > each session has its own QR
  4. 4Print QR posters in A3 or larger format
  5. 5Place at entrance doors and session room entrances

Check-in Methods for Event Day

USB Badge Scanner (Fastest)

Connect a USB barcode/QR scanner to your laptop. Open the Check-In page. The scanner reads QR codes and checks in attendees instantly — no clicking needed. Best for high-volume events.

Camera QR Scan

On the Check-In page, click 'Start Scanning' to use your laptop or tablet camera. Point the camera at the attendee's badge QR code. Requires HTTPS (works in production).

Mobile App Scan

Open the webMOBI app on your phone, navigate to your event, and tap 'Check-In'. Use the phone camera to scan attendee badges. Works offline and syncs when connected.

Search by Name or Email

On the Check-In page, switch to 'Manual Check-In' tab. Search by name, email, or registration number. Click the check-in button next to their name.

Self-Service (No Staff Needed)

Place venue QR posters at entrances. Attendees scan with their phone, enter their registered email, and check themselves in. No staff interaction required.

USB Badge Scanner Setup

How USB Scanners Work

USB barcode/QR scanners act as a keyboard. When they read a QR code, they type the data and press Enter automatically. The webMOBI check-in page listens for this input and processes the check-in instantly.

  1. 1Plug the USB scanner into your laptop (no drivers needed)
  2. 2Open Dashboard > Events > Your Event > Check-In
  3. 3Stay on the "QR Scanner" tab — the "USB Badge Scanner Ready" indicator will show
  4. 4Point the USB scanner at the attendee's printed or on-screen QR badge
  5. 5Check-in happens automatically — success/error shows on screen

Mobile App Check-in

webMOBI Container App

Staff can use the webMOBI app on their personal phones for check-in. The app uses the phone camera to scan QR badges with full-screen viewfinder.

  1. 1Download webMOBI from the App Store (iOS) or Play Store (Android)
  2. 2Sign in and navigate to your event
  3. 3Tap the "Check-In" button to open the camera scanner
  4. 4Point at the attendee's QR badge — check-in confirms with a success screen
  5. 5Tap "Scan Next" to continue scanning the next attendee

Registration Confirmation Email

Automatic QR Badge Emails

When a registration is confirmed, the system automatically sends the attendee an email with:

  • Attendee name and unique registration number
  • Event name and ticket type
  • Scannable QR code badge (embedded in email)
  • Link to the event page

No action needed from you — emails are sent automatically. If an email fails, it does not block the registration.

Attendees Dashboard

Dashboard > Events > Your Event > Attendees — view all registrations with real-time check-in status, search, and filter by checked-in / not checked-in.

See total attendees, checked-in count, pending check-ins, and check-in rate percentage at a glance.

Download the full attendee list with check-in status for post-event reporting and follow-up.

Registration Number Tracking

Each attendee gets a unique registration number. Track individual attendance history and ticket type.

WebMobi uses a unified QR format. All codes are auto-generated and backward-compatible.

Security & Fraud Prevention

  • Duplicate check-ins are automatically detected and prevented
  • Each QR code is unique and tied to a single registration
  • Cancelled registrations cannot check in (rejected at scan)
  • All check-in events are logged with timestamp and method
  • Staff check-ins are tracked with the staff member's identity

Event Day Checklist

  • Print venue QR codes in A3 or larger and place at entrances
  • Print session QR codes and place at room doors (if using session tracking)
  • Test USB scanner: plug in, open Check-In page, scan a test badge
  • Charge staff phones and install webMOBI app for mobile scanning backup
  • Ensure staff devices are charged and have the check-in page open
  • Do a test check-in with a staff registration before doors open
  • Have a backup plan: staff can search by name/email if scanning fails
  • Monitor the Analytics page during the event for real-time stats
  • Export check-in data after the event (Analytics > Export CSV)
